Organisation

Approach

When working with DeFabrique, our clients can rest assured that we will show initiative, take responsibility, and provide recommendations regarding the concept, preparation, production, and execution of the event.

1. Site visit

We would love to give you a tour of our characteristic events venue. Schedule a site visit and be introduced to the spaces, atmosphere, and approach of DeFabrique in a relaxed way. We will carefully consider to the concept, objectives, and interpretation of your event, depending on your specific needs. If you have already picked a date for your event, we will take out an option on that date, no strings attached, to guarantee that you will have a suitable location.

2. Proposal

You can perform a quick calculation yourself on our website. We will provide you with a unique proposal based on your application and your site visit. As soon as we receive your confirmation, we finalise the date for you and reserve all of the necessary catering, interior design, technology, and facilities needed to create the perfect event.

If you haven’t got details of your event figured out just yet, you can choose a site contract instead, which has us reserve the venue for the right date but leave the details for what they are until further notice.

3. Preparation

Our producer will contact you in due time to discuss the necessary details. They will answer any questions you may have and respond to your every need, both creatively and practically. We start by figuring out the big picture and then gradually fine-tune the details as the event approaches.

4. Production meeting

Around 14 days before any event, we like to schedule a so-called production meeting, via phone or on site at our venue, depending on your event. During this meeting, all of the parties and suppliers who are involved in your event will gather to discuss the plan. The aim of this meeting is to dot all of the i’s and cross all of the t’s before the event is truly upon us.

5. Execution

On the day of the event, your own personal event manager (your contact for the whole day) will welcome you to the venue. The event manager and your producer will then discuss the plan and any last details that may require your attention with you. Soon, your guests will start arriving and it will be time to kick off your event!

6. Assessment

After the event, you and the event manager will take a brief moment to assess how the event went, and several days later, our account manager will contact you to discuss the preparatory process and the execution.
